TERMS AND CONDITIONS.

1. Before practising at Box Tree Clinic

  1. You (“the Practitioner”) accept full responsibility for and agree that you have and will maintain your own Indemnity Insurance, are qualified to practise and will maintain your insurance and your registration with your registration body.
  2. You agree that the Box Tree Clinic shall not be responsible for the work conducted in any therapy sessions or appointments made between the Practitioner and their clients.
  3. You agree that the Box Tree Clinic will not take the bookings on behalf of the Practitioner, unless otherwise agreed, although we may refer enquiries to you.  Unless agreed otherwise, the Practitioner will operate independently as a member of the Clinic, maintaining full control over bookings, finances and development of their own practice.
  4. While using the Box Tree Clinic, the Practitioner agrees to conduct all business under the name of the Box Tree Clinic and not under another company’s name. For example, a client coming into reception would need to ask for You by name and “at the Box Tree Clinic”.
  5. The Practitioner agrees not to share or sublet the therapy room, or any area of the Building, in any manner with another practitioner or member of the public without previous authorisation from the Box Tree Clinic agreed first in writing.
  6. You agree that the Box Tree Clinic will not deal with any money transactions and payment of therapy fees on behalf of the Practitioner unless otherwise agreed.
  7. Each Practitioner agrees for the Box Tree Clinic to provide the Building Office Management with their full name, home address, and contact details before they begin. This is for the security of the building and to allow the reception staff and management to know who is working in the building. It also helps reception to greet visitors and direct them to the proper Practitioner.
  8. The Practitioner agrees to stop by the reception during business hours at least one day before you are due to begin at the Box Tree Clinic to have an electronic photograph taken of you for the Building Office Management to use for security. Your key should be ready to pick up from reception the following morning, to be arranged with reception.

2. Use of the Therapy Room/s

  1. The Therapy Room/s must only be used during the hours that have been agreed and paid for in advance.
  2. The Therapist is responsible for the condition of the room/s during occupation and the Therapist agrees that any loss or damage, other than regular expected daily wear, that occurs during the Therapist’s occupation of a room will be charged to the Therapist and payment must be received within 14 days of billing.
  3. The Therapist agrees to keep in mind that there are a variety of other professionals and businesses in the building and that he or she needs to be professional, considerate, courteous, to keep a low volume level, and not to speak about clients, psychological issues, or medical issues at all times in dealing with others in the building, including in the hallway, doorway, reception, waiting areas, kitchen, and any other areas of the building. If your client needs to speak about treatment or personal issues and you are with them in an area of the building other than in the therapy room, please ask them to step into the therapy room to talk or to delay the conversation until you next meet.
  4. The Therapist agrees to leave the Therapy Room in a clean and tidy condition, that food waste and dishes are brought to the kitchen and not left in the room, that care is taken of fixtures and fittings, and that the room is kept ready for use by another Therapist. Lightbulb and clock battery outages should be reported to info@boxtreeclinic.com as soon as they are noticed. If any incidents or problems occur that will require attention, these must be reported to info@boxtreeclinic.com immediately.
  5. The Therapist agrees not to bring in living creatures/pets to the Therapy Room or any hazardous, dangerous or illegal materials to the building or do anything which would or might invalidate any insurance relating to the Box Tree Clinic or to the Building.
  6. The Therapist agrees not to conduct any illegal activity from Box Tree Clinic.
  7. The use of burning objects of any kind such as candles and incense may not be used in the Therapy Room/s at any time.
  8. The Therapist agrees not to carry out medical services or any services utilising needles or working with bodily fluids in the Box Tree Clinic.
  9. The Box Tree Clinic will provide tissues, access to a communal bathroom, and refreshments (tea/coffee) in the kitchen through the office management company. The Therapist’s special requirements for the room/s must be conveyed and agreed prior to the commencement of the booking. An extra fee for special requirements may be incurred.
  10. The Therapist is responsible for safely keeping his or her electronic key to the room and building and never lending or giving the key to another person. In the event that the Therapist loses an electronic key, the Therapist agrees to inform the Box Tree Clinic that the key has been lost. A £50 fee will be charged to replace the key. It is recommended that each key is guarded very carefully and kept on the Therapist’s key chain or in another safe place.
  11. The Therapist shall not alter the room(s) or install any cabling, furniture, IT, telecoms or other equipment without the written approval of the Box Tree Clinic.
  12. The Therapist shall not display any signs or notices that are visible from outside those room(s).
  13. The Therapist agrees to comply with all laws and statutory requirements including Health and Safety Regulations in the conduct of his or her business and the occupation of the room(s).
  14. The Therapist agrees to keep the office(s) clean and tidy and use with care any equipment, fixtures, fittings and furniture provided.
  15. The therapist agrees to leave the high speed Ethernet cable adapter attachment for Mac computers/laptops in place when departing the room. It will be the requirement of the Therapist to bring his or her own cable adapter if he or she requires a special one for his or her computer.

3. Payment of Therapy Room Membership

  1. All sessional membership slots must be paid for at the time of booking.
  2. Committed Hours Clinic Membership

  • Registration fee: £65
  • Membership fee: £0/month
  • Deposit: £0
  • We do not require a deposit; however, there is a 60-day notice period required in writing to end your contract with us.
  • Lost electronic key fee: £50

3.1 Individual Therapist

  1. All sessional membership slots must be paid for at the time of booking. After we have verified your documents membership will be granted.
  2. Payment can be made by direct debit, electronic bank transfer or credit/debit card.
  3. Non-payment will result in suspension of membership.
  4. Where individual therapists are part of a practice payment will be the responsibility of the practice. (see below)

3.2 Practice

  1. All sessional membership slots must be paid for prior to membership starting.
  2. During the initial membership process we will approve your indemnity insurance and credentials. After we have verified your documents membership will be granted.
  3. Payment can be made by the practice, and is the responsibility of the practice, by electronic bank transfer, direct debit or credit/debit card.
  4. Non-payment will result in suspension of membership.

4. Cancellation and Departure

  1. The Therapist agrees to provide a minimum of 60 days notice for ending the contract. If 60 days notice is not provided, the Therapist agrees to pay the membership fee to Box Tree Clinic until the 60 days notice period has ended.
  2. The Therapist agrees to return electronic key/s to the Box Tree Clinic within 24 hours of ending the contract. Therapists will be billed £50 for each missing key with payment due within 14 days of billing.
  3. The Box Tree Clinic reserves the right to cancel room membership or to move members to a different room of similar size and quality if it is unable to provide access or hire rooms due to any so called “force majeure” events beyond its control including but not limited to flood, fire, breakdown of heating, power failure or any other events beyond its control.

5. Box Tree Clinic’s Obligations to the Therapist

  1. The Box Tree Clinic agrees to:
    • Make the Therapy room(s) available to the Therapist at the times agreed.
    • Maintain toilets and provide general caretaking and cleaning services through the service of the building’s Office management.
    • Provide boxes of tissue in the room.
    • Provide customer service for the Therapist. We will endeavour to return calls, texts, and emails as quickly as possible and usually in the same day.
  2. The Box Tree Clinic reserves the right to cancel a Therapist’s membership should he or she not abide by the terms of this agreement.

6. Declaration

I confirm that I have read, understand and agree to the terms and conditions of booking Box Tree Clinic membership as outlined above.
